Frequently asked questions
How do we migrate our existing stock data?
We import your customers, products and opening stock from CSV during setup, including locations and expiry dates, so day one starts with the stock you actually have.
What happens if the internet goes down?
Your stock data lives safely in the cloud and is unaffected. Operations pause only for as long as your connection does. Most sites bridge short outages with a phone hotspot and keep receiving.
Who owns our data? Is it secure?
You do, always. Data is hosted in AWS Sydney (ap-southeast-2) and encrypted in transit and at rest. Access is role-based, and each customer's data is visible only to the people assigned to it.
Does it handle invoicing?
Yes, through Xero, on the Enterprise plan. Invoices raised in the warehouse system are sent to your Xero organisation in a click, where your finance team reviews and sends them, and you can check whether they've been paid without leaving the warehouse system.
How the Xero integration works →What hardware do we need?
Just what you likely already have: a PC or tablet at the receiving desk and a printer for pallet labels (they print from a standard PDF). A USB or Bluetooth barcode scanner is handy for scanning labels instead of typing. Clearbay WMS runs in the browser, with nothing to install.
How long does training take?
Receivers and pickers are usually comfortable after half a day, because the 3D view makes finding stock intuitive. Admin and approval workflows take about a day. Every plan includes training with your real stock: on site in Auckland, remotely elsewhere in New Zealand.
Can our customers see their own stock?
Yes. The customer portal gives each of your 3PL customers a login that shows only their stock and their inbound and outbound requests. No more end-of-week stock emails.
